Digital Media Consent Form 1.2 Conditions of Use

Use of media

1 We will not include details or full names (which means first name and surname) of any child or adult in an image on video, on our website, or in printed publications, without good reason. For example, we may include the full name of a volunteers award winner if we have their consent. However, we will not include the full name of a member used in promotional literature.

2. We will not include personal e-mail or postal addresses, or telephone or fax numbers on video or on our website or in printed publications.

3. If we use images of individual members, we will not use the name of that child in the accompanying text or photo caption without good reason. And if a member is named in the text, we will not use a photograph of that child to accompany the article without good reason. For example, we may include a picture and full name of a volunteers award winner if we have their consent. However, we will not include a picture and full name of a member used in promotional literature.

4. We may use group images with very general labels, such as “Commedia Dell’Arte Workshop” “improvised scenes”, “Little Theatre”, “Children’s Theatre” or “Youth Theatre”

Safeguarding of minors

5. We will only use images of members who are suitably dressed, to reduce the risk of such images being used inappropriately.

6. We cannot film or take photographs of any child that is at risk or under a supervision order.

Security of media – access

7. All photos and information on Orbit Shed’s Facebook page and Twitter account can only be uploaded at this time by the administrator Jess Scotton and all photos and information on the Orbit Shed website can only be uploaded at this time by the administrators Jess Scotton and Phil Littleford.

8. There is no access to alter any photos or information on the Orbit Shed Facebook page or Twitter account for anyone apart from the administrator Jess Scotton and there is no access to alter any photos or information on the Orbit Shed website for anyone apart from the administrators Jess Scotton and Phil Littleford. The public cannot alter any information or photographs uploaded onto the Orbit Shed Facebook page, Twitter account or website. We are not responsible for the sharing of any media that is posted on our Facebook, twitter and/or websites by members of the public or parents/guardians.

9. We will ensure that the security settings on the Orbit Shed Facebook page, Twitter account, website and Dropbox account are implemented with the maximum security settings available on the sites and are regularly checked to ensure that access for uploading and alterations remains solely with the administrators named in conditions 9 and 10.

10. Photos are stored in a Dropbox account. Full names of members are stored in the same Dropbox account. Contact details for some volunteers, trustees and workshop leaders are also stored in this Dropbox account.

11. We will ensure that all information shared on Orbit Shed’s Facebook page, Twitter account and website is secure through the precautions stated in conditions 9, 10, 11 and 12.

12. A list of individuals who take photographs and videos for Orbit Shed in an official capacity can be found on the Orbit Shed website. A list of online media websites on which digital media are regularly published and a list of publications to which digital media is sent can also be found on the Orbit Shed website. If you have any objections to any additions to these lists please contact Jess Scotton through the Orbit Shed email address orbitshed@hotmail.co.uk.

Amendments to the conditions

13. These conditions will be posted on the Orbit Shed website. Any alterations or additions to these conditions will be posted on the Orbit Shed website, and we will post notifications on Twitter and Facebook when any alterations or additions are made. We will post notifications of any changes to the terms at least two weeks prior to any amendment, and unless we receive a notification to the contrary will assume that consent continues. If you no longer consent, then you are able to remove you consent as per the process below. If you have any objections to any alterations or additions to these conditions on the website please contact Jess Scotton through the Orbit Shed email address orbitshed@hotmail.co.uk

Accuracy of data

14. Any information supplied by Orbit Shed for the purposes of publicity will be checked for accuracy. Whilst all precautions are undertaken to ensure that this data is accurate, it is the responsibility of parents and guardians to inform us if any information supplied by Orbit Shed is incorrect. You can notify us of any incorrect information by contacting Jess Scotton through the Orbit Shed email address orbitshed@hotmail.co.uk

Removal of consent

15. Should you wish for any information or photos relating to you or your child(ren) to be removed from our online services (e.g. Facebook, Twitter and our website) please contact Jess Scotton through the Orbit Shed email address orbitshed@hotmail.co.uk and she will take action as soon as possible after she is informed.

16. If you later decide that you do not want your child(ren)’s photos to be used by Orbit Shed for publicity purposes including flyers, leaflets, posters, newsletters and Orbit Shed’s Facebook page, Twitter account and website please contact Jess Scotton as soon as possible through the Orbit Shed email address orbitshed@hotmail.co.uk. Please specify which publicity material(s) you would no longer like your child(ren)’s photos to be used in.
